The number is the instrument

The Call Tracking Phone Number, Explained

Every call tracking setup runs on the same instrument: an ordinary phone number, allocated to one campaign, routed to the phone you answer, and logged on every call. Here is what that number is and how to use it well.

Tracking number questions

What is a call tracking phone number?

A virtual number allocated to one campaign or medium. Calls to it route to your normal answer point, and every call is logged on that number — which is what makes the report attribute calls to the campaign that displayed it.

What kinds of numbers can be tracking numbers?

Local and regional geographic numbers from 40+ regions, plus 1300 and 1800 ranges. Geographic numbers suit local campaigns; the national formats suit businesses that want the recognised business look.

Do tracking numbers cost extra call charges?

Call time on tracking numbers is billed like any inbound number — per second against per-minute rates that depend on the plan. The number itself costs from $2 a month on tracking plans.

Can one tracking number serve two campaigns?

No — that is the one rule that matters. A number on two campaigns attributes to neither. One number, one placement, for the whole comparison period.

Call tracking platforms differ in dashboards and pricing, but they all run on the same component: a phone number whose only job is to be dialled by one audience. Understand the tracking number — where it comes from, what it costs, and the placement rule that makes its data honest — and you understand most of call tracking. The dashboards are presentation.

What kind of number a tracking number is

A tracking number is a virtual number: it has no physical line, no installation, and no hardware. It is an entry in the network that says "calls to this number go there" — where "there" is the answer point you set, usually a mobile or office line you already answer. When a customer dials it, the network routes the call and logs the event: which number, when, how long.

Numbers come from the provider's pool, in two broad families:

| Family | Ranges | Suits | |---|---|---| | Geographic | Local numbers from 40+ regions | Local campaigns — "plumber near me" audiences expect a local exchange | | National | 1300 and 1800 | Businesses wanting the recognised Australian business format |

The choice between them is a positioning decision as much as a tracking one — a Sydney customer seeing a Sydney number is a small trust signal that a national format does not attempt.

The one rule that makes the data honest

A tracking number measures the medium it is displayed on. That is the entire mechanism — and it only works when the placement is disciplined:

  1. One number per medium or campaign. The website number, the radio number, the print number. Never fewer than you want to compare, never more than you will act on.
  2. Never shared. A number that appears on two campaigns reports their calls combined, and the attribution is silently broken. This is the most common self-inflicted wound in call tracking.
  3. Fixed for the comparison period. Renumbering a campaign mid-flight corrupts the trend. Change placements between periods, not inside them.

Follow the rule and the report speaks for itself: calls per number is calls per campaign. Break it and no amount of dashboard sophistication repairs the data. The metrics read from that data — and their honest limits — are covered in call tracking metrics.

What a tracking number costs

Two charges, both modest: the number's plan fee — tracking plans start at $2 a month per number — and the call time that arrives on it, billed per second against per-minute rates that vary by plan and by whether the caller is on a fixed line or mobile. The current table is on the pricing page. For most small businesses the total tracking bill is dominated by call time, which is another way of saying the cost scales with the enquiries, not with the apparatus.

Getting your first tracking number

The practical sequence: choose the campaigns you actually want to compare, allocate one number to each from the pool, set the answer point to wherever your team picks up, and place each number on exactly one medium. The full workflow — including what to do with the reports at the end of a period — is in how call tracking software works, and the platform context is on call tracking.
