Call tracking over VoIP
VoIP Call Tracking Software Explained
VoIP call tracking assigns a distinct number to each campaign and reports every call that arrives on it. Because the numbers are virtual, they can point at VoIP handsets, mobiles or landlines without new hardware.
- Tracking plans from $2/month
- Numbers from 40+ regions
- Per-second call charging
VoIP call tracking questions
What makes call tracking "VoIP" call tracking?
The tracking numbers are virtual — they exist in the network rather than on a physical line, and each one routes to wherever you answer calls: a VoIP handset, a mobile or a landline. The tracking itself happens on the number, so the destination technology does not matter.
Does VoIP call tracking record who answered or the sale value?
No. Number-based tracking logs the calls that arrive on each number — time, duration, caller ID where available — and recordings where enabled. What happens after the call is answered happens in your sales process, not the tracking report.
How many tracking numbers do I need?
One per medium you want to compare: a website number, a radio number, a print number. Call tracking plans start at $2 a month per number, with call time charged per second against per-minute rates.
Will it work with our existing VoIP phone system?
Yes — the tracking number simply routes to the destination you choose, and a VoIP handset is an ordinary destination. Nothing on your phone system needs to change for the calls to arrive.
VoIP call tracking sounds like a specialist category, but the "VoIP" part is simpler than it looks: the tracking numbers are virtual numbers, hosted in the network rather than on a physical line, and each one forwards to whatever phone you answer on — including VoIP handsets, SIP systems, mobiles and landlines. The tracking happens on the number itself. That is the whole trick, and it is why a tracking deployment never touches your phone system.
What the software actually does
Number-based call tracking follows one model:
- Allocate a distinct number per campaign medium — one for the website, one for the radio spot, one for print, one per landing page you want to judge.
- Place each number only on its medium. Consistency is what makes the attribution honest.
- Every call to each number is logged — when it arrived, how long it ran, and the caller ID where the network supplies one.
- Reports compare the numbers over time, which means they compare your media over time.
The tracking numbers themselves ride on the same infrastructure as virtual 1300 and 1800 numbers, so they can also carry the standard call handling — routing to different destinations, overflow when a line is busy, and call recording for reviewing how enquiries were handled.
What it measures — and what it does not
The report answers one question precisely: which medium makes the phone ring, and how often? Compared over a full campaign period, that answers the budget question most small businesses are actually asking.
Stated as plainly: it does not tell you which keyword a visitor searched, which ad they clicked, or what the caller was worth after they hung up. Those need session-level tracking and your own sales data. Any tool claiming keyword-level attribution from a static number on a page is describing more than the number can see. If you need that depth, evaluate dynamic number insertion explicitly — what a call tracking system is covers the difference between the two models.
What it costs in Australia
Call tracking is priced per tracking number, with call time billed separately:
| Plan | Monthly fee | Fixed line | Mobile | Includes | |---|---|---|---|---| | Beginner | $5 | 12c/min | 32c/min | Numbers from 40+ regions | | Serious | $3 | 5c/min | 18c/min | Numbers from 40+ regions | | Marketer | $2 | 4c/min | 16c/min | Numbers from 40+ regions |
Call time is charged per second against those per-minute rates, and all pricing is ex GST. The full current table lives on the pricing page, alongside the 1300 and 1800 plans the tracking numbers can be drawn from.
Choosing a setup that will still make sense in a year
The features that matter are the boring ones: reliable per-number logs, reporting that exports or compares periods cleanly, recording you can actually play back, and a number pool deep enough that you never have to renumber a campaign mid-flight. Slick dashboards age quickly; clean call data does not.
The practical sequence: start with three or four numbers on your highest-stakes media, run them for a full comparison period, and add numbers only when a decision is waiting on the answer. The workflow is spelled out in how call tracking software works, the campaign-number model is in call tracking, and the CRM-logging question — what number-based tracking can and cannot write back — is covered in call tracking and CRM.
